Building a Scalable Data Warehouse and Automated Reporting System for a Small Nursing Home in Nice

Background

A small nursing home in Nice was struggling with outdated, fragmented data management—everything was recorded manually in Excel spreadsheets, with convoluted logs and disconnected graphs that made reporting slow, error-prone, and nearly impossible to scale. They needed a foundational system to get their data operations off the ground and support both patient care and administrative needs more effectively. I was brought in to standardize their data infrastructure, streamline reporting, and build a system that could grow with them.

Challenges

Their data was dated and scattered across multiple Excel files with inconsistent formatting, making integration and analysis difficult. There was no unified database, so reports required time-consuming manual consolidation. Additionally, there were no streamlined ways to capture new data reliably, leading to gaps and inconsistencies in patient and operational records. Designing a scalable yet simple solution suitable for their size and resources was critical.

Solution

I designed and implemented a fully normalized SQL database to consolidate their financial, employee, and patient data, transforming a patchwork of Excel sheets into a structured backend system. Using Oracle, I built a scalable data warehouse that could grow with their needs. To address data entry, I helped them create a series of Microsoft Forms integrated with Excel, enabling staff to easily input and update information, which fed directly into the database. I also integrated Alteryx automation to streamline data processing and reporting, replacing manual efforts with scheduled workflows to ensure accurate, timely insights.

Impact

​This project transformed the nursing home’s data operations by centralizing fragmented records into a single, accessible system. Automation reduced manual workload by 80%, accelerating report generation and improving accuracy. The introduction of easy-to-use data entry forms ensured consistent, reliable data capture going forward. Ultimately, this solution empowered the nursing home’s staff and leadership to make informed decisions faster, improving administrative efficiency and patient care management — setting a strong foundation for future growth.
